This policy explains how Coseek handles personal data across the website, booking flow, contact form, client campaigns, calling operations, recordings, transcripts, and internal service tools.

What data we collect

Website visits may create basic request logs, such as IP address, browser information, pages visited, timestamps, and error logs. Coseek does not use advertising cookies on the website.

If you request or book a call, Coseek or its scheduling provider may collect details such as your name, company, website, email address, phone number, budget range, ACV or acquirer type, selected time, and any information you choose to add. If you submit the contact form, Coseek collects the name, email, company or firm, phone number, and message you provide.

For client campaigns, Coseek may process client-provided data, account lists, business contact data, call outcomes, meeting records, campaign notes, recordings, transcripts, and meeting briefings. Business contact data may come from clients, public business sources, data providers, enrichment providers, or information gathered during calls.

Call recordings and transcripts

Coseek may record and transcribe calls for service delivery, quality review, meeting briefings, account context, training, and campaign operations. Recordings and transcripts are used to understand what happened on the call, prepare accurate handoffs, support follow-up where appropriate, and improve calling quality.

Commercial ownership of client campaign work product is governed by the client agreement. Coseek does not sell client campaign data, recordings, transcripts, or business contact data.

How we use data

Coseek uses personal data to operate the website, respond to messages, schedule meetings, provide services to clients, run calling campaigns, prepare meeting briefings, manage billing and accounting, maintain security, troubleshoot systems, and comply with legal obligations.

The lawful bases may include legitimate interests, contract, steps before entering into a contract, legal obligation, and consent where a specific consent-based process applies. Coseek relies on legitimate interests for ordinary B2B website, communication, service-delivery, security, and campaign operations where those interests are not overridden by individual rights.

Coseek may use AI-assisted tools to support research, transcription, note drafting, account classification, and service delivery. These tools support the work. They do not replace the client agreement, the written meeting standard, or human review of campaign decisions.

Processors and providers

Coseek uses third-party providers to operate the website, schedule meetings, send messages, run calling infrastructure, transcribe calls, enrich business contact data, manage records, report to clients, invoice, and coordinate internal work. Depending on the workflow, these may include:

  • Vercel, website hosting and basic request logs
  • Calendly or scheduling providers, meeting scheduling
  • Resend, contact form and transactional email
  • Stripe, Xero, Wise, and banking providers, payments, invoicing, and accounting
  • Twilio, phone calling and call infrastructure
  • AssemblyAI and AI providers, transcription, notes, and service-delivery workflows
  • Supabase and Google Sheets, campaign records, client reporting, and internal operations
  • BlitzAPI, LeadMagic, optional FullEnrich, and similar business contact enrichment providers
  • Slack and internal operations tools, team notifications and workflow coordination

International transfers

Coseek is based in the UK and serves US-focused campaigns. Some providers and campaign systems may process data in the United States or other countries. Where required, Coseek relies on applicable adequacy regulations, contractual safeguards, provider data-processing terms, or other lawful transfer mechanisms.

Retention

Coseek keeps personal data only for as long as needed for the purpose it was collected, including service delivery, client reporting, billing, accounting, security, legal compliance, dispute handling, and business records.

Website and contact-form messages are kept for business follow-up and recordkeeping. Client campaign records, call recordings, transcripts, and meeting briefings are kept for the client relationship, campaign operation, QA, and reasonable business record periods unless a client agreement or deletion request requires a different handling approach.

Your rights

Under UK data protection law, you may have rights to access, correct, delete, restrict, object to, or receive a copy of your personal data. If processing is based on consent, you can withdraw that consent. These rights can depend on the context and lawful basis for processing.

You can object to processing based on legitimate interests, including ordinary B2B business contact processing, by emailing Coseek. Coseek will review the request against the context, lawful basis, and any client-service obligations that apply.

Security

Coseek uses access controls, service-provider controls, internal workflow limits, and operational safeguards to protect data. No online system is perfectly secure, so Coseek keeps access limited to people and systems that need it to operate the business and deliver the service.

Sensitive information

Please do not send sensitive personal information through the contact form. Coseek does not ask website visitors to submit health data, government identifiers, payment card numbers, or other sensitive details through this site.
